Flowset Release Notes 6th June 2023

We are pleased to announce the following changes included in the release of our Flowset product dated 6th June 2023.

The following is a high level summary of the features and bugs, but a more detailed outline can be found further down in the article.

Features Included in the Release

The following new or enhanced features are included within this release (full documentation will follow shortly).

1. Resize the Workflow Assistant in Proportion with the App Tray

If using Agent Workspaces, Zendesk allows the width of the Apps Tray in the ticket form to be resized by manually dragging the edge of the panel left or right.

An enhancement has been introduced to ensure that the Flowset Workflow Assistant resizes itself to make the best fit to the width of the Apps tray as it grows and shrinks.

2. Make Workflow Locking a Hidden Concept

In earlier releases of Flowset it was necessary to manually lock a workflow for update before it was possible to edit the diagram.

This could lead to some confusion because the need to ‘lock’ the workflow before the ‘edit’ option is made available wasn't obvious and the entire locking and unlocking mechanism was cumbersome and unnecessarily complicated.

The following paragraphs provide a summary of these new features, but a full explanation can be found in the following article:

2.1 Automatic Locking when Opening for Edit

Improvements have now been introduced to allow a workflow diagram to be edited without first having to choose the option to lock, since locking now happens automatically when the the edit option is first chosen.

2.2 Taking over control from another user

In earlier releases of Flowset it was necessary to choose a menu option to ‘[unlock]’ a workflow that is currently locked for edit by another user (indicated by a red padlock), in the event that the user becomes unexpectedly unavailable.

As part of the move to make locking and unlocking a hidden concept, the name of this menu option has been changed to 'Assume Control' to reflect that by selecting the option a user will be taking over responsibility for the draft version and all updates.

2.3 Free up control ready for other users

There are occasions in which a Flowset Admin will choose the option to edit a workflow by accident and so close the diagram editor without making any changes.

Under these circumstances the workflow will become locked out for updates to that user, but a draft version won't have been created.

A new menu option has been introduced named 'Release Control' to allow the lock to be removed so it is available for updates by other users.

2.4 Discarding changes made by another user

When taking over control of a workflow from another use as described above, you will be assuming responsibility for the current draft version and all changes made by the previous user.

There might be a need to complete and test the changes before publishing, but it's possible that these updates are no longer required and should be discarded before alternative changes are made to the currently published version.

A new menu option has been introduced named 'Discard Changes' to allow make this possible.

3. Make View Mode Less Confusing

When using the Flowset Configuration dashboard, it is possible to select the ‘View' option from the menu against any workflow that isn’t locked to the current user.

When this option is chosen the workflow is opened in the diagrammer and it is possible to navigate around the diagram, opening shapes to inspect the properties and settings.

However, although it is possible to make adjustments to properties when using this mode it isn't possible commit the changes, with only the ‘cancel’ button made available for use.

Also, while working in view only mode, it isn’t possible to add new shapes and the shape template panel isn’t presented for use on the diagrammer.

This can cause confusion and lead to a user making numerous adjustments to properties in a shape before realising that they changes can’t be saved.

A number of improvements have therefore been introduced to make it more obvious that the diagram is opened in 'Read Only' mode when the view option is selected.

4. Improved Support for Placeholders in Comments

It is possible to use placeholders when configuring comments to be generated when transitioning between activities and these placeholders include the option to include the value of activity task fields captured during the activity.

However, in previous release of Flowset, if there is a need to make use of each task field individually it was necessary to follow a complicated and clumsy process to identify and copy the UID of each required field and then paste into the configured comment.

The use of placeholders within these comments has now been significantly improved through the introduction of a new menu from which the task fields can be selected while constructing the comment.
