Managing Workflow Roles

Roles

Workflow roles identify permissions and responsibilities to ensure that

  1. The agent is guided through the process at a level that is appropriate to their experience
  2. Only agents with the necessary permissions and knowledge are able to perform activities, transitions and tasks within the workflow

When you first select the Flowset configurator, it will select the 'Workflows' tab and show lists of Active and Inactive workflow definitions.  To manage the workflow roles, click the 'Roles' button.

Having selected the Roles button (1) the display changes to the Roles management screen.  The Roles tab (2) will be displayed by default.  In this tab you will see a list of the workflow roles defined.  Switch to the Assignments tab (3) to show how roles are assigned to agents.

When editing workflow roles and their assignments, changes will be managed by the configurator.  To commit any changes that have been made to the workflow role definitions and assignments, click the Save button (4).  To discard any changes made, click the Cancel button (5).

Any changes that are made to roles and assignments will be maintained in local storage so that if you leave the configurator and return later, it will remember the changes you have made and you will be able to continue editing and then save or discard these changes.

When configuring workflows to make use of Roles that have been defined, the workflow definition will only know about Roles that have been saved.  If you have changes that have not been committed (i.e. you have not pressed the Save button), then these changes will not be visible to the workflow definitions.
