Configuring Workflow Roles

Workflow roles can be used to control which agents are able to perform activities or transitions and to ensure that task flows can be tailored to the role of the agent dealing with them.  Using roles allows the workflow definition to refer to the role.  Agents can be assigned to roles using role assignments (see Configuring Workflow Role Assignments)

From the Flowset Configurator, select the 'Roles' button (1) at the top of the page.  By default the Roles tab (2) will be displayed.  This will show a list of the currently defined roles (3).

Adding Roles

To add a new Role, click the (+) button at the top left of the Roles list.

Once clicked, a new empty role will be added to the bottom of the list of roles.  Scroll to the bottom to find the new role and fill in the Role name and Description

The description can be used to identify the intended use of the Role.

Deleting Roles

To delete a Role, click the (-) button at the right hand end of the role entry in the list.

You will be prompted to confirm the deletion of the Role.

The dialog indicates that the role may be used in existing workflows to help control permissions and guidance.  If you remove a role that is used, you will need to edit such workflows to resolve any validation errors that may have been introduced.

Editing Roles

Once a Role is created, you can edit the name or description.  Roles are given a generated id, which does not change.  If you change the name of a Role, any workflows that refer to it will do so using the Role Id and therefore will pick up any name change automatically.

Select the name or description you wish to change and type away.

Saving Changes

All changes made to Roles (and Assignments) are managed locally and are not committed until you Save these changes.  When changes have been made, the Save button will be highlighted to indicate there are uncommitted changes.

Click the Save button to commit your changes.  If you wish to discard changes made so far, click the Cancel button.

When editing workflow definitions, you will only be able to refer to Roles that have been Saved.  Any in progress changes will not be visible to the Workflow definitions.
